Privacy policy

ATHLETE-XCEL helps football players show their development, and helps scouts and clubs find and follow players. That means we handle personal data, often of young players. This page explains in plain language what we store, why, who can see it, and what you can do about it.
1. Who is responsible
The controller of your personal data is Sampson Twum, Meersstraat 2, 9990 Maldegem, Belgium. For any privacy question or request, email samsontwum@gmail.com.
2. What we store
- Account: your email address, password (stored encrypted, we cannot read it), name and account type (player, scout or club).
- Player profile: date of birth, position, preferred foot, nationality, height and weight, current club and league, biography, profile photo and other photos you add.
- Match and training data: only what the GPS vest measures: minutes played, distance, high-intensity distance, sprint distance, top speed, accelerations and decelerations. Data comes from the player, or from the player's club when the club uploads it. We always show which of the two it is.
- Achievements calculated from that data.
- Parent or guardian details (name, email and the moment consent was given) when a player under 18 makes their profile public.
- Scouts: the decisions and notes you save about players.
- Clubs: your club's name, type and country, your roster, uploaded files and saved import layouts.
- Call-ups: when a club calls up a player, the name and email address the club entered (for players under 16, a parent's), the squad, the coach's note and the answer. A call-up nobody answers expires after 14 days.
- Profiles managed by an academy: an academy can create a profile for a player who has no email address or account yet (name, and optionally date of birth and position) and add GPS data for them. The academy must first have written permission from the player and, for players under 18, from a parent or guardian; we record when and by whom this was confirmed. From raw GPS files we only keep the summary numbers (distance, high-intensity and sprint distance, top speed, accelerations and decelerations), never the route itself. The player or a parent can take over the profile at any time, free of charge, or ask the academy or us to delete it.
- Error reports and feedback: when something breaks in your browser, we log the error message, the page and your browser type, linked to your account if you are signed in, so we can fix it. We keep these for 90 days. Feedback you send with the feedback button is kept with your account until it is handled.
- Scout visits: when a checked scout opens a player's report, we note that this scout visited on that day. The player only sees how many scouts looked, never who. Visits are deleted after 180 days.
- Weekly email: on Monday we send a short summary of your week (your progress, your squad or new players, depending on your account). You can switch it off with “Email notifications” in your settings.
- Other: notification settings, problem reports you send us, and technical data needed to keep you signed in and the service secure.
3. Why we use it
- To provide the service you signed up for (your account, profile, scores, rankings and reports). Legal basis: the agreement between you and us (GDPR art. 6(1)(b)).
- To publish a public profile, only when you switch it on, and for players under 18 only with a parent or guardian's consent. Legal basis: consent (art. 6(1)(a)). You can switch it off at any time.
- To check that scouts and clubs are who they say they are, and to keep the platform secure and prevent misuse. Legal basis: our legitimate interest in protecting players (art. 6(1)(f)).
- To answer your questions and problem reports.
We do not sell your data, we do not show advertising, and we do not use your data to make decisions about you without human involvement. Scores and rankings are calculations that help scouts and clubs; they never decide anything on their own.
4. Who can see your data
- Verified scouts can see player profiles and match data, to find and follow players. A scout account only gets this access after we have checked it.
- Your club can see the data of players in its roster, and can add confirmed match data for them.
- Anyone with your public profile link, if you switched it on. That page never shows your date of birth (only your age group), your contact details or your self-reported matches. It is hidden from search engines.
- Our service providers, who store and run the platform for us under a data processing agreement: Supabase (database, login and file storage, in the European Union, Ireland), Resend (sending emails such as call-ups and password resets) and Vercel (website hosting). Vercel and Resend can process data outside the EU; this happens under the safeguards the GDPR requires, such as the European Commission's standard contractual clauses.
5. Young players
In Belgium, children under 13 need permission from a parent or guardian to use online services like ours. A player under 13 should only create an account together with a parent or guardian.
For players under 18 we take extra care: a public profile needs a parent or guardian's consent, public pages only show an age group, and only checked scouts and clubs can see match data. Parents and guardians can contact us at any time to see, correct or delete a child's data.
6. How long we keep it
We keep your data as long as you have an account. When you delete your account, your profile, match data, achievements, photos, files and settings are deleted straight away. Copies in our providers' backups disappear automatically within their backup period (normally a few weeks). Match data a club uploaded about you is deleted together with your account.
7. Your rights
- See and download your data: Settings → Privacy & Security → Download my data.
- Correct your data: edit your profile, or ask us.
- Delete your account and data: Settings → Privacy & Security → Delete account.
- Withdraw consent: make your public profile private again at any time.
- Object to or restrict how we use your data, by emailing us.
We answer requests within one month. If you are not happy with how we handle your data, you can complain to the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit / Autorité de protection des données): dataprotectionauthority.be.
8. Cookies
We only use what is strictly needed to keep you signed in. We do not use advertising or tracking cookies. If that ever changes, we will update this page and ask for your consent first where the law requires it.
9. Changes
We will update this policy when the platform changes. For important changes we will let you know in the app. See also our terms of use.
